Project Overview

From 2018 to 2020, Bronson.AI provided a comprehensive range of services to support the Ottawa Airport Authority’s (YOW) data analytics platform with Tableau services, including:

  • Developing a multi-year data strategy for the Airport Authority, which involved assessing their approach to data management, understanding and documenting data sources, identifying opportunities for data sharing, addressing challenges in utilizing data, evaluating current and potential data architecture, and analyzing the organizational capacity to expand data use and access, along with identifying resource needs.

  • Creating and enhancing Tableau dashboards, including developing new dashboards and restoring or improving the functionality of existing ones to support decision-making. This also involved creating documentation to enable data refreshes and providing one-on-one training to enhance the internal team’s ability to perform self-serve analytics.

  • Providing on-call support for level 1 and level 2 maintenance and technical assistance according to defined service standards. This included responding to various Tableau-related or data/software issues and offering direct support for Tableau services installed at the Airport Authority, as well as managing upgrades.

Additionally, Bronson.AI provided formal project management to oversee multiple parallel workstreams, ensuring the successful execution of the project from initiation to completion. This included managing the day-to-day project activities and team, defining project tasks, monitoring progress, and ensuring timely delivery. Bronson.AI also maintained regular communication with the client, providing consistent updates on project status, impacts, costs, and timelines.

The Challenge

The Ottawa Airport Authority selected Tableau as their preferred platform for data analysis and visualization but lacked the internal resources to fully leverage its potential. They aimed to update existing dashboards and create new ones to better inform decision-making and track trends across various operational activities. Additionally, the Authority sought a data strategy that would enable evidence-based decision-making, making data both accessible and user-friendly. To achieve this, there was a clear need for a third-party review of their data sources, systems, and capabilities for accessing and sharing data, as well as recommendations for a suitable data architecture and organizational capacity to support data-driven decision-making. The Airport Authority also wanted to collaborate with a local third-party provider who could offer responsive Tableau maintenance and support services.

Bronson.AI established a dedicated project team to manage multiple parallel activity streams supporting the Ottawa Airport Authority. These key activity streams included dashboard functionality and development, data strategy creation, and Tableau maintenance and support.

Project Management and Oversight

Bronson.AI assigned a Project Manager to ensure the efficient and effective delivery of services, meeting client expectations, and adhering to the defined project budget, schedule, and scope. This included continuous monitoring of team time, budget, and project stream progress. The Project Manager also maintained regular communication with the Airport Authority through weekly meetings, formal status updates, monthly budget reports, and invoices.

Dashboard Development

Bronson.AI developed ten Tableau dashboards across various operational areas such as parking, winter storms, bird strikes, passenger movement, concessions, and utilities. The standardized approach for dashboard development involved gathering requirements, reviewing data sources, developing and testing dashboards, creating documentation for routine updates, providing one-on-one training for update processes, and assessing the potential for automating future updates. Time and costs for these activities were tracked and shared with the Airport Authority to ensure transparency and handle any challenges that arose.

Data Strategy Development

Bronson.AI followed a four-step methodology to create the data strategy for the Airport Authority. This included conducting stakeholder interviews, assessing the current data management approach, reviewing external benchmarks, consolidating findings, developing draft strategic options, and consulting with stakeholders to finalize the strategy.

On-Demand Tableau Maintenance and Support

Bronson.AI provided on-demand Tableau maintenance and support services based on predefined service standards. Time and costs associated with each support task were tracked and reported to the Airport Authority. Bronson.AI used issue-tracking software (JIRA) to manage and monitor support tasks, ensuring full visibility of progress for the Airport Authority.
